Management Team Assistant (70% – 100%)

What this role implies: 

  • Act as a trusted and reliable point of contact for the management team, handling inquiries and providing timely and accurate information
  • Be the go-to person for our team members for general enquiries and support at the office
  • Responsible for the smooth functioning of the CEO-Office with all administrative requirements
  • Manage complex calendars and schedule appointments, meetings, and travel arrangements
  • Meeting preparation and reception of customers and other external stakeholders
  • Prepare and edit correspondence, presentations, protocols and reports for internal and external stakeholders
  • Support contract management and customer relationship management
  • Event (space) management, advertising and coordination, organization of guest bookings
  • Facility management, coordination and organization of external companies
  • HR support (trainings and conference management, onboarding and offboarding, time and absence management)
  • Marketing support (social media, website, communication)
  • MIAC Academy support (event and website management, organization and coordination of content contributions of medical experts, copyright requests, format presentations, online distribution and advertisement)
  • Conduct research and gather data to support decision-making and strategic initiatives

 

 

Who you are:

  • Proven experience as an executive assistant, management assistant, or in a similar role supporting senior executives
  • Bachelor's degree in business sciences / economics of advantage
  • Exceptional organizational skills with the ability to prioritize tasks and meet deadlines
  • Strong communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels
  • Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint) is a must, experience with other software applications such as Jira (Atlassian suite) and graphic design programs is an advantage
  • Detail-oriented mindset with a commitment to delivering high-quality work
  • Ability to handle confidential and sensitive information with the utmost professionalism
  • Excellent problem-solving skills and the ability to adapt to changing priorities
  • Proactive attitude, willingness to take initiative and go the extra mile with a hands-on mentality
  • You like to start early and to work at the office as your presence would be required on min. 4 days per week
  • Residence near Basel or willingness to move to Basel / Switzerland
  • Fluent in German and English
  • Marketing experience is an advantage

Contractual Details:

  • Location: Basel, Switzerland
  • Position: Part-time or full time
  • Preferred start: November 2023
  • Working time: 42 hours / week in a 100% position; flexible working hours
  • Vacation days: 25 + 3 days (plus bank holidays, 24th and 31st December)
  • Contract: 1 year (extension certainly possible)
  • Home office: part time possible – primarily working at the office required
  • Compensation: 13 month’s installments
